THE ROLE:
[Company] is seeking a Head of Aviation Operations to manage all facets of the company’s private jet program. This role covers day-to-day aviation operational management, strategic planning for a potential future private jet acquisition, and detailed travel itinerary coordination. The incumbent ensures premium service delivery and strict compliance with safety, regulatory, and documentation requirements while serving as the primary executive contact for urgent requests.
THE PERSON:
The ideal candidate is someone with exceptional communication, negotiation, and analytical skills. They should have the ability to manage high-stakes, confidential operations with meticulous attention to detail. The person should be able to operate effectively in high-pressure, confidential environments and be available for irregular hours and on-call responsibilities.
KEY RESPONSIBILITIES:
Oversee flight scheduling, logistics, and support services provided by external vendors.
Develop strategies for potential private jet acquisition, including feasibility studies, cost–benefit analyses, and risk assessments.
Collaborate with key stakeholders to design detailed travel itineraries and coordinate accommodation arrangements.
Ensure compliance with international travel regulations and verify necessary travel documents.
Liaise with corporate security and other teams to integrate local mobility and security conditions into travel logistics.
Establish and maintain executive-level points of contact at vendor organizations for rapid response to urgent inquiries.
Cultivate strategic partnerships with leading private jet operators and evaluate vendor performance.
Lead the preparation and negotiation of comprehensive contracts and ensure legal compliance.
Oversee the annual and quarterly budgeting process for executive aviation and monitor expenditures.
Enforce strict adherence to FAA and international aviation regulations and conduct regular audits.
Maintain effective communication with key stakeholders to align aviation operations with executive requirements.
Develop and maintain robust emergency response and contingency plans.
PREFERRED EXPERIENCE:
Bachelor’s degree or equivalent work experience in the travel industry.
5 years of progressive experience in aviation operations or executive travel management, including significant leadership responsibilities.
Extensive travel experience.
