[Company], Inc. is seeking an experienced Charter Coordinator to join our growing Part 135 operation in Fort Lauderdale, Florida.
[Company] is a growing private aviation company operating under FAA Part 135. We are focused on delivering a premium charter experience through operational discipline, regulatory compliance, strong communication, and exceptional client service.
Position Overview:
The Charter Coordinator serves as a central point of communication between clients, flight crews, sales, management, maintenance, FBOs, customs agents, and international handlers. This role requires strong judgment, operational discipline, and the ability to anticipate issues before they become disruptions.
The Charter Coordinator will support the safe, legal, and efficient execution of charter flights in accordance with FAA Part 135 regulations, company procedures, crew duty/rest requirements, aircraft limitations, and client service expectations.
Qualifications:
Respond promptly to inbound retail and wholesale charter inquiries; evaluate trip requirements, prepare accurate and competitive proposals, and actively follow up to convert qualified opportunities into confirmed bookings.
Develop and maintain strong relationships with charter brokers, corporate clients, and other industry partners to generate repeat business, identify new sales opportunities, and increase utilization of the [Company] fleet.
Apply sound commercial judgment when pricing and negotiating charter opportunities, balancing client requirements, aircraft availability, operational feasibility, positioning costs, and company revenue objectives.
Maintain communication with clients throughout the life of each charter flight, from booking through completion.
Conduct flight following from pre-departure through arrival and provide timely updates to clients and internal stakeholders.
Prepare and distribute accurate flight itineraries, including passenger details, FBO information, crew assignments, ground/catering logistics, and trip-specific requirements.
Brief flight crews on routing, weather, NOTAMs, anticipated delays, airport conditions, aircraft limitations, and operational considerations.
Ensure crew duty, rest, and flight time limitations are monitored and not exceeded.
Coordinate domestic and international charter operations, including customs requirements, foreign handlers, international documentation, and trip-specific paperwork.
Prepare for and manage irregular operations, including mechanical delays, weather deterioration, reroutes, flight deviations, passenger changes, and schedule disruptions.
Maintain awareness of aircraft status, scheduled/unscheduled maintenance, crew availability and operational constraints that may affect fleet scheduling.
Maintain accurate records and documentation in accordance with company procedures and regulatory requirements.
Coordinate cabin-stock requirements, passenger preferences, and special requests in partnership with client, flight crew and approved vendors.
Complete post-flight closeout tasks, including documentation review, movement verification, client follow-up as needed, issue logging, and escalation of any safety, service, maintenance or vendor concerns
Support a fast-paced operation while maintaining accuracy, professionalism, and strong client service standards.
Required Qualifications:
Prior aviation operations experience required; Part 135 charter coordination, scheduling, dispatch, or OCC experience strongly preferred.
Ability to work in a fast-paced, high-accountability operational environment.
Strong written and verbal communication skills.
High level of professionalism and discretion when communicating with clients, crew members, vendors, and internal leadership.
Ability to manage competing priorities, changing schedules, and time-sensitive operational issues.
Strong attention to detail and ability to maintain accuracy under pressure.
Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
Authorized to legally work in the United States; sponsorship is not available.
High school diploma or GED required.
Education/Experience:
Prior Part 135 Aviation experience
Bachelor's Degree preferred
High School Diploma or General Education Development (GED) Diploma required.
FAA Aircraft Dispatcher License (ADX) preferred but not required.
