Description: | The Coca-Cola Company (TCCC) has an internal aviation department that is responsible for Coca-Cola VIP travel. This individual will work very closely with the Executive Administrators for Coca-Cola’s senior leadership to help coordinate domestic and international travel. As such, this individual will need to have a very high level of written and verbal communication. This is a hybrid role that will require experience in the following areas: Aviation dispatch and aircraft scheduling General executive administration Accounts payable What You’ll Do for Us: Aircraft scheduling in coordination with the Aviation Leadership Team Participate in the Safety Management System Provides logistical support to the flight crew and the leadership team to ensure trip execution in the safest and most efficient manner per the request of TCCC, and in compliance with the Aviation Use Policy Coordinates airport suitability approvals per our SOPs and coordination with Standardization Captain, Trip Captains, The Leadership Team or General Manager Secures Visa requirements, applications, and passport renewal Coordinates logistics with the Supplemental lift provider as needed Maintains all records of trips, including aircraft and aircrew statistics for reporting and compliance purposes Coordinates with the International Trip Support vendor providing all logistical trip support requirements, aircrew and passengers travel documentation and customs requirements In coordination with Tech Ops, provides passenger support during launch and recovery times existing outside of normal duty hours, when required Administrative Oversees the business integration and logistical support processes for new hires including office equipment (computer, telephone, and cellular device), policy and procedure awareness, travel, and expense materials Renews yearly memberships with numerous industry organizations Updates and maintains various department rosters, files, and org chart Reviews quarterly Security Access Reports and updates accordingly Arranges all special events at hangar and off-site (meetings, luncheons, receptions, dinners) to include catering, transportation and logistics Orders office and hangar supplies. Orders cellular devices for associates and tracks upgrade eligibility Handles hangar conference room reservations Assists the Aviation Department Leadership, to include handling routine correspondence, photocopying, composition, and proofreading of letters, memoranda, and spreadsheets Provides administrative office support to TCCC Corporate Aviation Department employees, as required Maintains and updates key department employee personal information, and shares with senior management as needed Distributes all incoming mail Coordinates and manages department files Manages and coordinates special projects as requested Greets, assists, and provides services as needed by senior management, customers, guests, and dignitaries visiting the facility Monitors admittance of guests, vendors, and suppliers through the security gate Manages and monitors switchboard and screens phone calls and directs to appropriate manager or resource Acts as department Point of Contact for all accounting policies, procedures, and deadlines Financial & Accounting (Secondary) Reviews invoices for accuracy and processes for payment in a timely manner in coordination with finance and department personnel for department budget compliance. Works with Finance to set up Purchase Orders (POs); requests PO increases; enters Goods Receipts; and closes POs in SAP Works with the Leadership team to set up new vendors Calculates fuel flowage and coordinates quarterly payment to Fulton County Airport. Acts as liaison between vendors and Accounts Payable Reviews foreign invoices for value added tax and submits for reclaim Works with vendors, Procurement, and Accounts Payable to resolve issues with unpaid invoices Reviews vendor account aging reports and researches past due invoices to reach a resolution Reviews monthly mobile phone charges and reports discrepancies Responsible for monitoring, reviewing, and reconciling department and aircraft purchase cards on a monthly basis to ensure Company compliance Locates missing receipts, generates monthly expense reports, determines correct cost center and GL Account to classify each charge to and submits within deadline Qualifications & Requirements: FAA Flight Dispatcher License Associate’s or bachelor’s degree Three to five years of administrative or secretarial experience Experience with crew and aircraft scheduling platforms such as PFM, Satcom Direct, or ARINC Direct Strong Microsoft Office (Word, PowerPoint and Excel) skills Secondary Proficient with SAP CONCUR; P08 Finance, and P2P system Accounts payable experience What We Can Do for You: As a world class organization with over 250 innovative products, associates have the opportunity to be a member of some of the most recognized brands in the world.
